Build your team with the Foreman
A built-in guide that interviews you, reads your website, keeps your knowledge base with you and proposes a team of bots that it creates only after you confirm.
The Foreman is a built-in guide that builds your team of bots with you. You tell it about your company, it asks a few questions, then it proposes a team. Nothing is created until you click Create team.
The Foreman is not a bot. It never appears in your bots list, and it has no routines, no memory and no skills of its own: once your team is created, the conversation ends and the next time you open it you start fresh. Everything that lasts lives in your bots and in the Knowledge base.
Start a conversation
In Bots, click the hard-hat icon (Build my team) at the top of the conversation list. When you have no bot yet, a Build my team row also appears in the empty list. Click Start, or just type your first message.
The Foreman runs on the provider and the model shown in the message box, like a bot. You can change them there. The message box works as everywhere else in Bots: you can dictate your answers with the microphone.
What the Foreman asks
It asks one question at a time (related questions are grouped in a single card), in the language you write in:
- What your company does, and its website if you have one.
- The repetitive tasks you would like to hand over.
- The tools you already use (email, calendar, CRM, accounting, social networks...).
It stops as soon as it can propose something useful, usually after two to five exchanges.
What it writes and what it only proposes
The Foreman keeps the Knowledge base with you, under the same rule as every bot:
- What you tell it is written to the Knowledge base, as a new revision you can undo.
- What it finds on its own, for example by reading your website with its web tools, is only proposed. The page does not change until you accept the proposal in the Knowledge base view (the book icon shows a badge). It is read-only: the Foreman never logs in, submits a form or posts anything.
It never stores passwords, tokens or API keys.
The team plan
When it understands your business, the Foreman shows a plan card in the conversation. For each bot you see:
- a name, a role and a mission;
- suggested routines, which are created disabled;
- the integrations the bot needs (you connect your own accounts afterwards, in Settings → Integrations);
- the gallery template it starts from, when one fits.
A plan holds 1 to 8 bots with different names. Related bots are grouped under a heading (a "box", for example Sales or Support).
Each bot has a check box. Uncheck the ones you do not want yet.
Confirm or adjust
- Create team creates the checked bots. Only this click creates anything: typing "yes" in the conversation does not, and the Foreman cannot create bots by itself.
- Adjust brings you back to the conversation to change the plan. The Foreman then proposes a new card.
If Neoo Cloud is available on your account, the card lets you choose This computer or Neoo Cloud for the whole team, like the environment selector of a single bot.
After creation
- Each bot is created with its instructions, skills and disabled routines, like a bot made from a template.
- Bots of the same box on this computer are put in a group (2 to 6 bots). Bots created on Neoo Cloud are not grouped automatically.
- The first bot opens on its guided first conversation, where it helps you connect its integrations and turn on the routines you want.
If one bot cannot be created, the others are still created, and the card shows which one failed.
