Knowledge base

A shared company wiki that every bot reads. What you say is saved right away; what a bot finds on its own waits for your review.

The Knowledge base is a set of short Markdown pages about your company: what it sells, to whom, at what price, who works there, the tone to use, the tools you rely on, your customers, your competitors and how things get done. Every bot of the same environment reads the same pages, so you explain your business once instead of once per bot.

It is different from a bot's memory and skills, which belong to a single bot. The Knowledge base is about the company and is shared by all bots.

Open it

In Bots, click the book icon at the top of the conversation list (Open the knowledge base). A badge shows how many proposals are waiting for you. Use the back arrow to return to your bots.

If you also have a Neoo Cloud machine, an Environment selector appears at the top: This computer and Neoo Cloud each have their own knowledge base, read by the bots running there.

Pages

Pages are grouped by type: Company, Products, People, Processes, Customers, Competitors and Other. Select a page to read it. To change it, click Edit: a simple Markdown editor with a Preview tab.

  • Give each page a short address (lowercase letters, digits and hyphens, for example pricing). Link pages together by writing [[pricing]] or [[pricing|our prices]]. Links and "Linked from" pages are shown under the text.
  • The page of type Company (address company) is special: its first 12 lines are shown to every bot on every turn, followed by the title of every page. Keep it a short card: what the company does, for whom, where, and the tone.
  • Limits: 500 pages, about 64 KB per page.

Who can write what

  • You write directly. Each save creates its own revision.
  • A bot writes directly only when you have just told it a fact or corrected one in the conversation ("our Pro plan is now 25 euros"). The page gets its own revision.
  • A bot that finds a fact on its own (on the web, in a file, in a connected tool, from a third party) never writes it. It sends a proposal that you accept or reject. Until you accept it, the page does not change.

Proposals

Open the To review tab. Each proposal shows who made it, the reason, the sources (web addresses are clickable) and a Changes view: removed lines are struck through in red, added lines are green, compared with the current page.

  • Accept writes the page, with a revision attributed to the proposal.
  • Reject discards it. A bot cannot send the same rejected text again.
  • If the page was edited after the proposal was made, a warning says so and the button becomes Accept and replace the current page. Check the differences first.
  • Identical proposals are merged into one.

When a bot sends a proposal, a discreet notification appears with a Review button.

Sections no one has confirmed

A bot can flag the sections of a proposal that come from a source no person has confirmed, such as a website. After you accept it, those sections stay marked: a warning icon appears next to the page, and a banner lists them. Bots that rely on one of these sections tell you in one line at the start of their answer. Click Confirm once you have checked them, or edit the section yourself, which confirms it.

History and undo

Click History on a page to see every revision with its author (you, a bot, or an accepted proposal) and date. Restore creates a new revision with the old text, so even a restore can be undone.

Deleting a page keeps its history. Deleted pages are listed at the bottom of the page list: click one to bring it back.

Read my website

To start quickly, click Read my website, enter your site address and choose a bot. The bot reads the site in the background, like any other background work, and sends proposals only: a company card, then products, pricing, team and so on. Nothing is written until you accept it, and the sections taken from the site are flagged as unconfirmed.

How bots use it

Every bot turn receives a short instruction and the index of the pages, so bots know what exists. Bots can search and read pages with their own tools (gateway_kb_search and gateway_kb_read) and are told to:

  • read the product page before writing about a product,
  • flag an unconfirmed section in one line at the start of the answer,
  • never store a fact about the company in their personal memory.

In Plan mode bots can read the Knowledge base but not change it.

Notes

  • A Neoo Cloud machine must run a recent Neoo Connect for the Knowledge base to be available. Otherwise the view explains that the machine does not serve it yet.
  • Never put passwords or tokens in a page. Page text is treated as data by bots, not as instructions.
